Definition and characteristics of a commercial proposal

A business proposal is an offer letter that can be classified as a “persuasive document.” It has been called or categorized this way because the sole purpose of preparing and sending an offer letter is to persuade the customer to buy the product or service or accept an offer made by the company. It is not an easy task to write an offer letter and make it persuasive in nature so that a reader is motivated to look at the proposal and make the decision to buy your services or accept your proposal. There are many simple tricks and techniques you can use to write an attractive proposal letter.

On the surface, your goal as a marketer is to provide a solution to a customer’s problems. However, below the surface, you want a potential customer to accept your offer and be able to earn income from the contract or deal made. To achieve this purpose, a marketer must conduct extensive research on the target audiences or target customers. This helps you get to know and understand your customer better. Once you understand your prospect’s needs and requirements, you can communicate accordingly how your organization can solve these problems or meet customer needs.

When writing a business proposal, a marketer must keep a few points in mind. There are some essential or basic characteristics of an offer letter without which an offer letter is incomplete. You should divide the letter into a few main subtopics for a better understanding of the reader. Mention the main idea first in the ‘Executive Summary’ of the letter. You can also mention about the offer budget. Don’t use the word “budget” and make it sound like an investment instead of just mentioning the price. You can then profile your company to gain credibility, past projects, achievements, and credentials. After presenting all of these things in brief, you can present your main contract and end it with a thought-provoking concluding paragraph. Choose your cover letter, layout, headline, fonts, and other formats carefully and professionally.
